The shift plan lives in a WhatsApp group
The plan is shared as a screenshot, two corrections follow, and nobody knows which version is current. The employee who didn't show up says, "I never saw that plan."

Clock-in and clock-out times aren't written down anywhere — not even in a notebook; the month-end timesheet gets filled in from memory and guesswork.
"I got here at 9" — the argument
Neither the complaint nor the defense has anything to back it up. The argument runs on memory, not records — whoever argues loudest wins.
Leave is requested verbally, and nobody knows the balance
Nobody calculates how many days each person has left or what they've earned based on seniority. At year-end, carried-over leave turns into a dispute.
The advance is in the notebook, the deduction gets forgotten
How many installments an advance should be deducted in gets noted somewhere, but when earnings are calculated, the offset gets skipped.
Document validity isn't tracked
Health certificate, hygiene certificate, workplace safety document — you find out they've expired on inspection day.
Recurring tasks live nowhere in the system
Opening-closing checklists, cleaning schedules, HACCP temperature readings, equipment maintenance — "who, when, how often?" is defined nowhere. The knowledge lives in one person's head, and it leaves when they do.
Saying "I did it" isn't the same as proving it
A paper list gets signed, but there's no photo, no measured value. Completion rates aren't tracked; a critical task running late doesn't surface to anyone.
Nothing on hand for the inspection
"Show us the last three months of fridge temperatures" — and the scramble for the binder begins. There's no retroactive traceability; even work that was actually done can't be proven.
Totaling hours at month-end takes days

The modules don't work in isolation: approved leave flows into the timesheet, the timesheet feeds earnings, and advances are offset against earnings. One data set, one chain.
HR Dashboard
The whole day on one screen: the breakdown of scheduled, clocked-in, late, no-show, and on-leave staff; department breakdown; expired documents and records needing attention, all at a glance.
Employee Records
Identity, contact details, contract, emergency contact, assigned assets, training, and incident records. Every document — from health certificates to hygiene certificates — carries an expiry date and an automatic alert.
Shift Planning
Fill the weekly grid in seconds using shift templates. Includes overnight shifts crossing midnight, "copy last week," and minimum rest-time warnings. Staff can't see the plan until it's published.
QR-Code Time Tracking
A fixed QR code posted at the branch, or a rotating one on a screen, with location-verified punches. If signal is weak, the record queues on the device and sends once the connection returns — the same record never gets created twice.
Automatic Timesheets
Live status in the Today view, a heat-map grid in the monthly sheet. Lateness, overtime, and absenteeism are calculated automatically; an approved month gets locked and exported to Excel.
Leave Management
Automatic annual leave accrual based on seniority, carry-over entry, and an open-balance formula. Requests come in from the phone and are approved with one click; approved leave automatically flows into the timesheet and task generation.
Advances and Deductions
Staff open a request from the portal; the manager sets the approved amount and number of installments. The remaining balance is tracked and automatically offset once the earnings period closes.
Earnings Calculation
Regular hours, overtime, holiday pay, night differential, meal and transport allowances, bonuses, and tip share — down to advance offsets — all line items are totaled for a single period. Exported to your accounting software as Excel/CSV.
HR Reports
Turnover, absenteeism, overtime, training, and task-completion reports — all exportable to Excel for any date range.
Putting recurring work into the system
Opening-closing checklists, cleaning schedules, HACCP measurements, and maintenance checks are defined with who does them, when, and how they're proven — then logged with evidence that they were done, producing audit-ready output.
A task answers four questions, independently

"Read the handwashing training" should produce eight separate records in an eight-person kitchen; "measure the fridge temperature" should produce just one — the first person to complete it claims it. Skip this distinction and the module produces either a bloated list or incomplete tracking. air-HR models it as a separate field.
By when?
A fixed time, shift start ± minutes, shift end ± minutes ("30 minutes before closing"), or end of day. Once the defined tolerance window passes, the task counts as "late"; if it's flagged critical, it raises an alert on the dashboard.
An out-of-range reading doesn't block the record
When a value falls outside the expected range, the record isn't blocked: the value is saved, flagged "out of range," and a notification goes to the manager. Blocking the reading only pushes staff toward making up a number — what actually matters is that the deviation gets recorded.
Task definition preview
Once a week, on Mondays, assigned to everyone in the Kitchen department individually; photo evidence required by 11:00. This will generate 12 records over the next 7 days.
You don't have to guess what a rule will do while setting it up — the window summarizes the definition in plain language and tells you how many records it will generate.


Copy to other branches
The same opening checklist gets rolled out to 20 branches with a single click. Chain-wide standards don't get harder to maintain as branch count grows.
Audit trail
Created, claimed, completed, reopened, verified, rejected, skipped — every status change is logged. Evidence is never deleted. Even if the task definition changes later, past records stay bound to the rule that applied on that day: yesterday's 5°C reading doesn't retroactively become "compliant" just because the rule was relaxed today.
Onboarding and offboarding checklists
Runs on the same engine. On onboarding: collecting paperwork, health certificate, hygiene certificate, handing over assigned assets, opening a portal account, and a probation-period review at +60 days. On offboarding: returning assigned assets, closing portal access, and an exit interview. Even if the employee is entered into the system days later, the checklist is generated retroactively.
Not just modules — structural decisions
What separates air-HR from a staff tracking spreadsheet is how it treats data.
Staff sessions are fully isolated from admin
Separate table, separate cookie, separate signing key, separate permission layer. Staff can never see the admin interface or the admin API, under any circumstances.
The raw clock punch can't be altered
A manager can correct the time, but the employee's original punch is never deleted; it stays visible with a strikethrough, and the reason for the correction sits right next to the record.
Dual-approval protection
Two people can't approve the same request at the same time; the second approver gets a "this request has already been resolved" warning. Nobody can approve their own request.
Pay visibility is a separate permission
Branch access doesn't imply pay visibility. The person who can see earnings and the person who can manage the branch don't have to be the same one.
Offline queue
If signal is weak in the kitchen, clock punches and task completions queue on the device and send once the connection returns. The same record never gets created twice.
Records aren't deleted — they leave a trail
A departed employee's history, a completed task's evidence, and an approved timesheet's lock all stay intact. Branch transfers and rehiring are modeled correctly.

What if an employee doesn't have a smartphone?
The portal can be opened on a shared tablet or phone at the branch; the employee logs in with their own phone number and password.
Can someone photograph the QR code and clock in from home?
No. When a fixed QR code is used, location verification stays mandatory; a shift can't be started from outside the branch radius.
Internet is weak in the kitchen — do records get lost?
No. Clock punches and task completions queue on the device and send once the connection returns; the same record never gets created twice.
Do we need to change our existing POS/till system?
No. air-HR runs independently of your POS and doesn't touch your till flow; if you want, it can be matched to POS staff cards.
Is everyone's pay visible to everyone?
No. Pay visibility is a separate permission; a manager with branch access may not have permission to see pay.
If a manager corrects the time, does the employee's record get deleted?
No. The employee's original punch stays visible with a strikethrough; it's recorded along with the reason for the correction.
