Stock & Cost Management

Stock Management

Automatic deduction of waste and loss from stock
Both manual and automatic. With our IQ Portal product, loss entries can be made per product by quantity; if the lost item is a menu product, the entire content can be written off directly through the sales recipe. Waste quantities can likewise be entered by quantity from the portal.
Tracking stock costs by last invoice and weighted average
Companies can produce both reports themselves; no request to robotPOS head office is needed. The system can also be run in whichever mode is preferred (weighted average or last price).
Defining and managing unlimited warehouses
In the robotPOS system every branch is a warehouse, and each branch's cost is calculated separately. In addition, an unlimited number of warehouses can be created centrally, independently of the number of branches.
Transferring products between branches and warehouses
Transfers between branches are possible both in our IQ Portal product and in our central ERP product. In IQ Portal, transfers can be restricted by product and by branch. In addition, when a transfer is made between branches, the integration sends dispatch notes to Logo so that an invoice is issued.
Setting stock safety limits and seeing critical levels
In our system, limits are set separately for central warehouses and can also be defined per branch. Minimum and maximum stock limits can be set separately at branch and head-office level.
Producing stock inventory and warehouse-level stock status reports
Inventory valuations in warehouses can be given both at last purchase price and at weighted average. Current inventory can also be valued at last purchase or weighted average.
Carrying out stock counts and posting them to inventory
Through our IQ Portal product, each branch can enter counts daily, weekly and monthly. Counts can be entered per branch through the central ERP or imported from Excel. Period closings are performed through the central ERP after review by head-office staff.
Defining stock suppliers and assigning a default supplier
Suppliers can be defined in the system and price lists entered against them. Supplier quotations can be entered and compared per product on the same screen while purchasing. The last five purchase movements of the product being compared can also be examined in detail on the purchasing screen.
Closing period-end after counts in bulk
Our system supports bulk warehouse closing. Period closings are carried out centrally by the brand's head office, and the head-office administrator can close the period for all branches at once.
Price locking by product and period
Our purchasing module supports working with price lists. Once the relevant price lists are entered, prices are fixed at the agreed levels. The system warns if a different price is entered, and a price-difference report lists purchases made at a price other than the agreed one.
Barcode Warehouse Management System (BWMS) solution
BWMS is an application that, using mobile devices, makes it easier to record warehouse and dispatch operations at a company's central sites. It allows goods receipts, warehouse transfers, dispatches and warehouse counts to be recorded.
Risk of records being deleted from the database
No robotPOS product deletes records from the database. The system works on a row-level record basis and provides security by changing the type of the data instead.

Recipe Management

Adding and editing recipes for products
An unlimited number of production and sales recipes can be defined. Different recipe contents can be assigned to the same product per branch.
Cost and profit analysis using production recipes
Our system supports recipe-based, open and split production. Production can be carried out during the process from the production screens or through the central ERP module using recipes. Production figures and sales figures can be compared to produce profit analyses. When profitability is calculated at both branch and head-office level, the difference arising after a count can also be absorbed into costs.
Portion calculations in product recipes
Portion information can be entered in production recipes, and costing can be produced accordingly.
Semi-finished production, meat cutting, carcass and open production
In many of the chain brands we work with, production, open production, semi-finished production and meat cutting (from carcass to burger) are carried out in production facilities via production screens using recipes. We have experience in many different production types such as döner, baklava, milk desserts and cakes, meatballs and chicken dishes.
Using different recipes at different branches under a single code
You can use different recipes at different branches under a single code without creating a new product code.
Separating waste rates per stock item in recipe contents
Waste can be added per product within recipe contents, and the resulting waste can then be reported. Waste is tracked per line within the recipe, not per recipe.
Production module and its functions
In addition to recipe-based production, we have modules for semi-finished production, advanced meat cutting supported by the production screen (split production) and open production (bakery goods). Ice cream, baklava, milk desserts, dry pastries, world-cuisine preparation, and meat cutting from carcass to lahmacun mince, döner and burger patties can all be handled.

Integration & Accounting

Selecting the account and seeing previous purchase prices while entering an invoice
Previous prices of the product can be seen, and if there is an agreement with the selected account, the system warns the user directly on the line when the price on the incoming invoice differs from the agreed one.
Automatic stock entry while entering purchase invoices
Automatic creation of stock cards while entering purchase invoices is available in our system. Pulling stock cards into the robotPOS system as part of ERP integration is also something we have already implemented for almost all of our brands.
Connecting directly to Microsoft Office programs via SQL
Import and export in Excel and specific formats is available in many parts of our system. Exported data is transferred to Excel without the slightest corruption, ready to work on directly.
Integrating purchase, sale, transfer and waste operations with ERP applications
This is an operation we have carried out at many of the companies we work with. We work in integration with the Logo, Mikro, Netsis, SAP, Oracle, Lucca and Orka ERP systems.
Transferring sales invoices and payments through Logo integration
With Logo integration, sales invoices, payments, branch and warehouse operations, purchase invoices and inter-warehouse transfers can all be transferred automatically. This is an operation we have carried out at many of the companies we work with.
Order collection and dispatch through central order management
Our IQ Portal product includes an application that can seriously discipline branches and central dispatch and can be configured to the company's way of working. We have substantial experience in collecting orders from all branches, reporting them to head office, breaking them down per branch with pivot reports after production, and invoicing and dispatching to branches.
Ready for third-party integrations through API services
We have integrations with more than 60 applications: new-generation fiscal printer companies, ERP companies, marketplaces, e-Invoice/e-Archive/e-Order-Pad, delivery and courier companies, mobile payment companies, shopping mall integrations, scale manufacturers, BI tool companies, airports, logistics companies, digital signage, service robots and more.
Integration support with ERP programs
Our system already works in integration with the Logo, Mikro, Netsis, SAP, Oracle, Lucca and Orka ERP systems. Integration can be built with any ERP program that can communicate over web services.

Reporting

Producing different reports by adding filters to existing and new reports
Requests from brands for extra reports and report edits that arise over time can be met by our technical team. If the brand's head office has staff with SQL knowledge, read-only access to the SQL database can be granted and training on the table structure provided.
Defining module and menu access rights per user
The web-based central reporting platform gives real-time access to all data from all branches. With hierarchy roles such as Dealer, Area Supervisor, Regional Manager and Owner, access can be limited to particular branches and particular reports.
Automatic report delivery to defined e-mail addresses
Scheduled e-mail tasks can send reports automatically to chosen users at chosen times. Event notifications can alert users when defined conditions occur.
Preparing branch profit & loss reports by entering non-stock expenses
Through the Expense Platform, the head-office administrator can define the expense groups and items present at the branches. Branch users select the expense period and post the relevant expenses in bulk, so the expense data required for the profit & loss report is recorded in the system.
Producing reports by top group, main group and sub-group
When stock cards are defined, a stock tree can be built using the Main Category, Stock Category and Stock Group fields plus 16 custom fields. Reporting can be done by every field that has been defined.
Producing branch-level waiter/product/period reports
Reports such as Staff Performance, Staff Sales by Category, Staff Sales by Group and Staff Sales by Product can be produced per branch, for selected branches or for all branches, between chosen dates.
Mid-month average-price reports for flash cost
Mid-month average-price reports can be produced for flash cost reporting.

Offline Operation & System Security

System operation during an internet outage
Points of sale have a SQL Express database. All movements are written to this database and transferred to head office every 90 seconds. Internet dropping in and out at the branch does not affect ongoing operations. During an outage, only marketplace integrations (Yemeksepeti, Getir and so on) and third-party applications are unavailable.
Preserving open transactions when the system shuts down
The system works on row-level record logic. Transactions are first written to cache memory. If the power goes and the system shuts down, work resumes from where it left off when power returns. Where a correction is needed, nothing is deleted — the status is changed instead.
POS / EFT POS integration
Our system already has both GMP3 and TSM integration with the Ingenico and Profilo brands. AndroidPOS (Vuk507) integration with the Hugin brand is complete, and we have integration experience with more than 60 applications.

Table Management

Splitting the bill within a table
In table-service operations, the split-bill feature lets everyone pay for what they had within a single bill. This feature is permission-based and can only be used by authorized staff.
Collecting a table bill with different payment methods
The bill amount can be collected in parts using as many payment types as you like — part cash, part credit card, part meal voucher and so on.
Opening more than one bill on the same table
Using the Split Item feature, you can create as many separate bills as you like on the same table and track each one separately.
Colour changes and attention cues on occupied tables
An empty table is shown grey, an occupied one green, a table whose bill has been printed red, a table whose order has left the kitchen yellow, and a table with no activity for a set period black. The waiter's name, table number, time open and bill amount can be seen on the table.
Adding notes to a bill
In all sales modes, notes can be added to the bill as a whole or to individual products. Ready-made messages can be created in a Message Group (cooking level, with/without onion and so on) or entered ad hoc.
Reservation management
This is our module through which our customers can track guests reserving tables hours or days in advance, add and edit reservations, complete or cancel them, and keep a record of every action.
Fire (course-start) function
For items that must arrive in sequence (soup, iskender, künefe), a signal can be sent to the kitchen from the handheld terminal or till to prepare the next item.
Table, floor and garden layout design
As many sections as you like can be created on the table plan (front room, garden, upper floor and so on). Ready-made table templates can be used and the layout arranged by drag and drop.
Merging tables, changing tables and changing waiters
All of these are permission-based functions, and the actions taken can be reported centrally through the web-based reporting system for selected branches or all branches.
Table turnover tracking and reporting
With row-level record logic, the whole cycle can be checked: when the bill was opened and by whom, who added what to the table, who corrected what and when, for what reason, who applied a discount and so on.

Order Management

Adding unlimited condiments / product sub-levels
Product messages (condiments) can be defined centrally in unlimited numbers and in groups. Thanks to the parent-product logic, you can go to unlimited sub-levels, e.g. Desserts → Syrup Desserts → Baklava → Homemade → Walnut Baklava.
Adding mandatory option selection (combo menu)
With the combo menu feature, product option varieties can be built with as many groups and option selections as needed. Selections can be made mandatory or optional and extra charges defined. It allows for every variation, such as dough choice, drink choice and sauce choice in a pizza order.
Single, half and double portion options
Quarter portion, half portion, one-and-a-half portion and double portion options are available.
Menu layout by order type
Separate menu designs can be created for table service, takeaway and delivery. A product can appear only in table service and be hidden for delivery.
Applying different products/prices/menus/promotions by point of sale
With the Central Product Management module and the Central Promotion Management module, different products, prices, menus and promotions can be applied by branch, location and sales type.
Kitchen Display System (KDS) support
Our KDS product is managed centrally, and just like a printer you can use as many KDS units as you like at any branch you like.
Staff definition and authorization
Staff management can be handled at branch level or centrally; staff definition, authorization and grouping can all be managed from head office.

Bill & Payment Management

Integration with all payment methods
You can define as many payment types as you like centrally. Foreign-currency payment types can be defined, and in places such as airports the exchange rate updates automatically through rate integration. We have integrations with mobile wallet apps such as Hopi, Fastpay, Gastropay, Paycell, Nkolay and Chippin.
Automatic VAT rate assignment by service type
VAT can be determined by order type. The Product VAT module lets you set different VAT rates for each branch or sales type.
Settling current accounts
A Sale to Current Account (credit sale) feature is available. A limit can be defined for the account when it is created.

Mobile Handheld Terminal

Taking orders on an Android handheld terminal or tablet
Our mobile application is Android-based and can be used on industry handheld terminals and tablet PCs.
Handheld terminal functions
The handheld terminal supports all functions such as printing the bill slip, sending to the EFT POS, applying discounts, setting favourite products, logging in with terminal number and password, keeping a log of entries and changing tables.

Delivery Orders

Marketplace integration
We work in integration with the Trendyol Yemek, Trendyol Market, Getir Yemek, Getir Çarşı, Yemek Sepeti, Yemek Sepeti Mahalle, Migros Yemek, Fuudy, Feed Me, Ticimax, Restajet and Frink marketplaces. All operational needs can be managed — branch open/closed to orders, busy status, order states and so on.
Caller ID phone order tracking
The delivery management module can be used with a Caller ID device or PBX integration. Every detail can be tracked: how many times the customer has called, their addresses, past orders, special discounts, credit sale limits, delivery times and more.
Courier tracking module
Couriers can be tracked with the Delivery Status module: which courier went to which orders, how much they must hand over by payment type, delivery times and many other operational reports.
Call centre function
Order entry from a single centre for all your branches, routing to the nearest branch, brand-wide customer records, order history checks, customer satisfaction surveys, operator performance reports and branch-level order performance tracking.
Integration with courier companies
We can work in integration with the Vigo, Paket Taxi, Paketle, Packupp and Hemen Yolda applications. Integration work can be carried out with any company that can communicate over web services.

Security

Staff authorization by topic and product
There is an extremely granular central security system. Every button used in point-of-sale operations has 10 security levels, buttons can be enabled or disabled by device type, and which member of staff has which permission can be managed centrally.
Table activity reporting (cancellations, returns, product transfers)
Records are kept at row level, so who added which product to the bill and when, who corrected what, when and why, the order type and other bill details can all be reported comprehensively and centrally.
Assigning permissions by fingerprint, card and password
Staff can be authorized using a USB fingerprint reader, magnetic card, contactless card/fob or password. Touch PCs come with a magnetic card reader as standard.
Preventing screens being used for other purposes
Touch PCs and handheld terminals can be configured so that only the relevant software runs, preventing use for anything other than their intended purpose.

Reports

Detailed daily reports for tills
The Earnings Report, Cashier Close-Out Report, Cashier Variance Report, Till Control Report and many other till reports can be produced both at branch level and through the Central Reporting Platform.
Cancellation and return reports
Who added which product to the bill and when, who corrected what, when and why — every detail can be reported comprehensively and centrally.
Automatic report delivery to defined e-mail addresses
The Report Mail List feature can send the reports you request, at the time you request, to the e-mail addresses you specify, automatically.
Creating reports designed for the specific business
Requests for extra reports can be met by our technical team. Staff with SQL knowledge can be granted read-only access and given training on the table structure.
Financial till control
Thanks to the ledger function, Z reports are pulled automatically from new-generation fiscal printers with Z-report read permission enabled. Once the user enters the values for each payment type, till controls can be checked centrally.

Integrated QR Menu

QR menu system integration
Our QR menu product is our own and works 100% integrated with our point-of-sale management system. Customers can reach the menu by scanning the QR code with their phone, create an order and pay.
Automatic price updates in the QR menu
Our QR menu product works off the CPM (Central Product Management) software, so price changes can be applied automatically.
QR menu management panel and customization
A separate QR menu management panel lets you create branches, categories, menus, price templates, messages, combo menus and background banners. Content can be varied by branch and the page design personalized.
Taking online orders and online payment
With the QR menu, customers can create their own orders and pay for them. It is active for table service and takeaway; development for delivery is ongoing.
Self-checkout kiosk module
Available as a 32" floor-standing model and 23.6" and 21.5" tabletop models, managed centrally, letting customers order and pay without queuing. When idle it can display brand promotion and campaigns.

Mobile Loyalty App

Mobile app and system integration
Our mobile loyalty application is our own and works 100% integrated with our point-of-sale management system. The interface design can be personalized.
Points, reward and gift management
With package options such as Starter, Advanced and Pro, many different gift-management variations are possible: points, discounts, gift products, stamp cards, surveys, membership and more.
Sending SMS, e-mail and notifications
SMS, e-mail and push notifications can all be sent.
Customer survey applications
A survey defined in the system can be sent to the customer automatically a set time after the sale is completed, and different gifts can be given depending on the answers.

Promotions & Campaigns

Promotion applications
With the Central Promotion Management module you can define, manage and report promotions for a chosen branch, several branches or all branches. Promotions can be built by date range, days, time range, product groups and waiter terminals — for example buy 2 get 1 free, 50% off the second item, happy hour discounts and so on.
Creating gift/coupon codes for internal campaigns
Coupon codes can be created with the robotPOS Gift Voucher application. A chosen menu can be sold at a chosen price, or a bill discount applied. Each coupon code can be used only once and every detail can be reported.

Central Definition & Control

General central definition capability
With the Central Management System you can control every need on your branches' operating screens from a single centre: menu, pricing, printers, kitchen display, payment types, discounts and promotions, staff authorization, coupon management and more. With a template-based approach, a single template can be used at several branches.
Unlimited-user stock and cost management
There is no branch or user limit on the Central Management System.
Web-based stock entry and reporting
With the web-based Order & Dispatch Platform, stock management and reporting can be done over the web. A static IP is not required.
Central ordering, dispatch and invoicing for chains
The web-based Order & Dispatch Platform covers branch ordering, inter-branch transfer requests, staff meals, returns, losses, production, goods receipt, external supply, stock counts, expense management, current-account statements and reporting.
Editing sub-user permissions through central users
On the Web Reporting Platform, the Order & Dispatch Platform and the Central Management System, authorized users can edit other users' permissions.

Stock safety limits and critical level tracking
Minimum and maximum stock quantities can be set for every warehouse defined in the Central Stock & Cost Management System, and the system can warn when those quantities are exceeded.
Automatic order e-mails to suppliers
The Central Order & Dispatch Management system can automatically e-mail the orders collected from branches to the relevant suppliers. The order form is designed according to the information you provide.
Ordering the same product from different suppliers per branch
With easy PO creation, the same product can be ordered from a different supplier per branch.

Mobile Reporting (App)

Central reporting app for Android and iOS
The web-based Central Reporting Platform can be downloaded on Android (Play Store) and iOS (App Store). More than 30 reports are available, chiefly daily, weekly, monthly and annual sales reports, per branch or in aggregate.
User-level data restriction within the app
With hierarchy roles such as Dealer, Area Supervisor, Regional Manager and Owner, access can be given to particular branches and particular reports only.
Language support and currency conversion
The point-of-sale, reporting and central management system products have language support. Foreign-currency payment types can be defined, and rates can update automatically through rate integration.

They opened their first shop in 1928 in Akhisar — a tiny place with four tables. After Ramiz Usta passed away in 1970, his four sons continued to keep their father's name alive. In 2000 they opened their second branch, again in Akhisar, on the İzmir–İstanbul highway. That second branch became a springboard, and in 2006 the first İstanbul branch opened in Levent Çarşı. The Köfteci Ramiz brand continues to grow, today with 150 branches in 31 provinces."
